Setting Up Your Store
Setting up your store is a guided flow of 5 steps that opens after you install By the Numbers from Shopify. It asks about your store, invites your team, connects your marketing platforms and shows your Shopify data being imported. Every question is optional.
How It Works
Before the First Step
Installing from Shopify connects your store and starts the import of your store’s history. If you don’t have a By the Numbers account yet, a screen called Create Your Account comes first. Enter your name, your email twice and a password twice, then choose Create Account.
The steps appear on a page called Welcome to By the Numbers. While the import runs, opening any other page in the app brings you back here. When the import finishes, the rest of the app opens as normal.
A row of 5 numbered steps runs across the top. Finished steps show a check mark, and the step you’re on is highlighted.
You can’t select a step in the row. Use Continue, Skip for now and Back to move.
Step 1: About Your Store
This step asks 3 questions:
- What’s your main goal? The choices are Grow revenue, Improve customer retention, Reduce wasted ad spend, Understand my customers and Something else.
- What’s your role? The choices are Founder / Owner, Marketing, Analyst / Data, Operations, Agency / Consultant and Other.
- Anything you’d love this to help with? (optional) A sentence or two in your own words, up to 500 characters.
Continue saves your answers and moves on. Skip for now moves on without saving. If a save fails, an error appears and you still move on.
Copilot reads your answers as context when it writes insights.
Step 2: Where You Advertise
The step is named Ads & das Pixel, and its question is Where Do You Advertise? Pick every platform you run paid ads on: Google Ads, Meta Ads, TikTok Ads, Reddit Ads or Microsoft Ads. I Don’t Run Paid Ads can’t be combined with the others.
Picking Microsoft Ads only records your answer, because there is no Microsoft Ads connection in By the Numbers yet. Your answer also decides which platforms lead the list in step 4.
If your store can use das Pixel, a Turn On das Pixel card appears under the question. The card says das Pixel measures only from the day you turn it on, so visits from before aren’t filled in.
Choosing Turn On das Pixel saves your answer first. Shopify can then ask you to approve 2 permissions and brings you back to this step.
Not Now on that card saves your answer and moves on. While the card is offering das Pixel, it replaces Continue and Skip for now.
After das Pixel is on, the card shows Connected — Waiting for the First Visit until your storefront gets its first visit, then Capturing. How to Connect das Pixel covers the same connection in full.
A store that can’t use das Pixel sees only the question, and the step is named Your Ads.
Step 3: Invite Your Team
This step lists everyone already on the account, with their email and a status such as Active or Invited. Choose Invite Member to add someone. Each person you invite gets an email with a link to set a password and join the account.
Continue moves on, with or without invites. How to Invite a Team Member explains the permissions you can give.
Step 4: Connect Your Stack
This step shows a card for each platform you can connect: ad platforms, email and analytics. Where your store can schedule exports, Google Drive and Dropbox appear too.
If you picked platforms in step 2, those cards lead under Recommended for You, in the order you picked them. Everything else sits in a collapsed More Integrations section.
If you picked none, you see one list with unconnected platforms first, then by name.
Connecting a platform needs permission to manage integrations. Some platforms send you to their own sign-in page and return you to this step. When an ad platform needs you to choose its ad accounts, a window opens for that.
Continue moves on whether or not you connected anything.
Step 5: Importing Your Data
This step shows the import itself. Overall Progress is a percentage of all the records to import. Below it, Orders, Customers and Products each show how many are imported out of the total, marked Importing, Queued or Done.
A row with nothing to import is left out.
The screen says you can close the window, and that you’ll get an email when everything’s ready. At 100% it says it’s building your dashboards.
When the import is done, it shows Your data is ready. Welcome to By the Numbers. and Go to Dashboard.
If you turned on das Pixel in step 2, its setup checklist shows on this step too. Continue Setup opens the das Pixel page, and you can use it while the import is still running.
A team member without permission to manage integrations is told to ask an owner to finish das Pixel setup.
If your store has to choose a subscription before it can open the dashboard, Go to Dashboard takes you to that choice instead.
If the Import Fails
A red message appears above every step, with a Contact Support button that opens the Help Center in a new tab. The message says the team has been alerted and you don’t need to do anything. It tells you to reach out if the problem doesn’t clear shortly.
Steps 1 to 4 keep working without the import.
What Happens to the Import
- It reads your orders, customers and products from Shopify.
- It starts from your earliest order or customer in Shopify, and goes back no more than 20 years.
- It runs on its own, whether or not the page is open.
- It never moves you between steps. When it finishes, a Your Data Is Imported badge appears on the step you’re on.
- How long it takes depends on how much history your store has. A small store can finish in seconds.
What Can Be Skipped
Steps 1 to 4 can all be skipped, and none of them is needed for the import to finish. Steps 1 and 2 have Skip for now, and step 2 has Not Now while the das Pixel card shows. Steps 3 and 4 only need Continue.
Step 5 can’t be skipped, because it is the import.
Where Each Step Lives Afterward
| What you set | Where to change it later |
|---|---|
| Primary Goal and the free-text note | Business Profile, under Settings in the navigation |
| Your role | Profile, in the Your Role field |
| Where you advertise | Business Profile, under Where Do You Advertise? |
| Teammates | Team, under Settings |
| Connected platforms | Integrations |
| das Pixel | das Pixel |
The goal and the note belong to the store, so every team member sees the same ones. Your role belongs to your own login.
What It Means for You
- Answer steps 1 and 2 if you can. They take a minute, and they shape what Copilot says and which platforms lead in step 4.
- Decide on das Pixel in step 2 if you want it. It can’t fill in visits from before you turn it on.
- Skip the rest freely. Each one has a page of its own, listed in the table above.
